Wedding Invitations and Stationery Timeline

Stationery is one of the first genuinely concrete tasks in wedding planning, and one of the easiest to either rush or forget entirely. Unlike most early decisions, each piece here has an actual deadline attached to it, and each deadline exists for a reason beyond tradition. Get the order right and the rest of your guest planning falls into place behind it.

  • Save-the-dates: 6-12 months out

  • Invitations: 8-12 weeks out

  • RSVP deadline: 3-4 weeks out

At a glance

  • Save-the-dates: 6-12 months out, earlier for a destination wedding like Waiheke or a guest list with many overseas travellers.

  • Formal invitations: 8-12 weeks out, carrying the actual venue, timing and RSVP details.

  • RSVP deadline: 3-4 weeks out, timed to lock in your caterer's final head count.

  • Digital and paper aren't either/or, plenty of couples now use both for different reasons.

The short version: what goes out when

Save-the-dates go out 6 to 12 months before the wedding. Formal invitations follow 8 to 12 weeks out. RSVPs are due back 3 to 4 weeks before the day itself. That's the whole sequence. The detail worth understanding is why those windows exist, not just what they are.

Save-the-dates: 6-12 months out

A save-the-date's only job is to protect your date on someone's calendar before they book something else over it. Six months is a reasonable minimum for a fairly local guest list. Push toward 10 to 12 months, sometimes earlier, if you're planning a destination-style wedding such as Waiheke Island, or if a meaningful share of your guests are flying in from overseas. Both situations mean guests need real lead time to arrange leave, flights and accommodation, not just pencil a date into a diary.

If you're not sending save-the-dates at all, a short engagement or a genuinely small guest list are the two situations where skipping them makes sense, since a direct invitation with enough notice covers the same job.

Formal invitations: 8-12 weeks out

The formal invitation carries the actual details: venue, timing, dress code, RSVP instructions. Twelve weeks gives guests a comfortable window, especially anyone needing to arrange travel or take leave. Eight weeks is the realistic floor for a fully local guest list on a straightforward date. Going out much earlier than 12 weeks risks the invitation getting set aside and half-forgotten before the RSVP deadline even arrives.

RSVP deadlines: 3-4 weeks out

An RSVP deadline isn't an arbitrary courtesy, it exists because your caterer needs a final head count, usually somewhere between 2 and 4 weeks before the wedding, to lock in catering numbers, seating and often the final invoice. Set your RSVP deadline with that catering cutoff already in mind, then build in a short buffer for the handful of guests who inevitably reply late, because there always are some.

An RSVP deadline isn't an arbitrary courtesy, it exists because your caterer needs a final head count to lock in catering numbers, seating and often the final invoice.

A firm deadline also does something couples don't always expect: it's what lets anyone building a family photo list, a seating chart or a run sheet work from a real number instead of a guess that keeps shifting.

Digital vs paper, and why couples are increasingly using both

Digital save-the-dates and invitations (through platforms with built-in RSVP tracking) have become a genuinely normal choice, not a lesser one, largely because they're faster to send, easier to update if a detail changes, and simple to track without chasing paper replies. Paper still holds a real edge for save-the-dates and formal invitations as a physical object guests keep, and it tends to land more reliably with older guests who don't check email RSVPs consistently.

Plenty of Auckland couples now split the difference: paper for the save-the-date and formal invitation, with a digital RSVP link built in, giving you a keepsake object and an easy-to-track reply system at the same time.

Letting stationery echo your day's styling, without overthinking it

Your invitation suite is the first physical thing most guests see from your wedding, and it's a reasonable, low-pressure place to hint at your day's colours or general feel, a colour palette, a typeface, a texture, without needing to lock in every styling decision months before the venue does. It doesn't need to match exactly. A save-the-date sent a year out is realistically going to predate half your other styling choices anyway. Treat it as a first note in the direction you're heading, not a binding contract with your florist.

Frequently asked questions

We got engaged and set a date only 4 months out, do we still need save-the-dates?

Not really. With a short engagement, send your formal invitations as early as you reasonably can instead, since a save-the-date followed almost immediately by an invitation doesn't add much value.

Is it rude to only send a digital invitation?

No. Digital invitations are widely accepted now, particularly for RSVP tracking, though a paper save-the-date or invitation for older guests is worth considering if you're unsure how reliably they check email.

What if guests don't respond by our RSVP deadline?

Follow up directly, by phone or text works better than a repeated formal reminder, and build a short buffer into your deadline relative to when your caterer actually needs final numbers, so a few late replies don't put you under pressure.
